Examples: how processes run with Business Central

Simplified examples with fictional data. We check scope and feasibility for your system.

  1. An incoming invoice from email to Business Central

Situation: Invoice RE-2026-08194 from Nordwerk arrives as a PDF in the invoice inbox.

    1. Uhrwerk extracts the vendor, invoice number, invoice date, line items, amounts, and tax.
    2. Uhrwerk matches the invoice against the purchase order, receipt, and vendor in Business Central: quantity and goods value match, freight is 7.50 € above the order and within tolerance.
    3. An authorised employee reviews the proposal and approves it.
    4. Uhrwerk creates the purchase invoice with a review note in Business Central and logs every step.

    For approval

    Create purchase invoice

    +7.50 € freight, within tolerance
  2. A customer order from email as a sales order

Situation: Hansa Bau orders 40 flange bearings by email for 18 September, with the order attached as a PDF.

    1. Uhrwerk reads the customer, lines, quantities, and requested date from the order.
    2. Uhrwerk maps the lines to items in Business Central and checks prices, terms, and availability.
    3. One line uses an old item number: Uhrwerk proposes the stored successor item and flags it.
    4. Sales reviews the draft and approves it; Uhrwerk creates the sales order.

    For approval

  4. Secure a vendor's new bank details

Situation: Elbwerk reports new bank details by email, and two payments are open.

    1. Uhrwerk recognises the master-data change and checks the vendor and its open entries in Business Central.
    2. The change is not independently confirmed: Uhrwerk proposes putting the two open payments on hold.
    3. Uhrwerk prepares a callback to the number stored on the vendor card and a four-eyes check.
    4. Until the second approval, the existing bank details stay active.

  5. Reconcile delivery dates

Situation: Eleven order confirmations from vendors arrive overnight.

    1. Uhrwerk reads dates and quantities from the confirmations.
    2. Uhrwerk compares them with the open purchase orders in Business Central.
    3. Nine confirmations match. Two dates are later, and one of them puts a sales order at risk.
    4. Purchasing sees the deviations in one place and approves the new expected receipt dates.

    2. Uhrwerk checks history and warranty: 22 months left, no earlier complaint for this serial number.
    3. Your process allows an advance replacement. Uhrwerk prepares the sales return order and the replacement shipment.
    4. The credit memo stays open until the technical inspection is complete.

How Uhrwerk works with Business Central

  1. Connect

Through the Business Central connector — for Business Central Online and On-Premises.

  2. Inherit permissions

Uhrwerk acts only within your existing permission model.

  3. Approve

By default, posting-relevant steps reach Business Central only after human approval. Once a workflow has proven itself, individual steps can be applied automatically.

  4. Trace

Every action is logged — who, what, when, and on what basis.

Business Central Online and On-Premises

Each variant has its own connector. An organisation can add several connections — for example for different tenants, environments, or companies.

Business Central Online

Connection
Through Microsoft's official Business Central MCP server
Sign-in
Microsoft Entra ID (OAuth) — each user with their own account
Prerequisite
Enable the MCP server in Business Central; that is also where you decide which writes are allowed
Target
Tenant, environment, and company selectable per connection

Business Central On-Premises

Connection
Through OData v4 or API v2 on your Business Central server
Sign-in
Microsoft Entra ID or a NAV user with a web service access key
Prerequisite
Enable OData or API services and publish the required pages as web services
Network
Uhrwerk runs inside your network or reaches the server through approved private addresses

Security and control

  • Own identity per user

Each user connects their own Microsoft account or NAV credential. Credentials are never shared, and that user's Business Central permissions apply.

  • Reads run, writes wait for approval

Queries run directly. Creating, changing, and unknown actions wait for approval by an authorised employee.

  • No silent overwrites

Workflow changes are written only if the record is unchanged since it was read. Otherwise Uhrwerk reports a conflict.

  • Live, not a copy

Uhrwerk reads Business Central data live through the interface and keeps no separate index of your ERP data.

  • Audit trail

Access, proposals, and approvals are logged — who, what, when, and on what basis.

  • Central control

Administrators enable or disable connectors and individual operations per organisation. Credentials are stored encrypted.

Step by step to automation

  1. Prepare

Uhrwerk reads, structures, and matches against Business Central. Your team keeps working on the case as usual.

  2. Propose

Uhrwerk prepares the specific posting or change. The responsible employee reviews and approves it.

  3. Complete

Proven standard cases run automatically within clear rules. Exceptions are still escalated.

Compliance is part of the system

What you need for audits, data protection, and the EU AI Act ships with Uhrwerk — not as a separate project.

  • EU AI Act risk assessment as the basis for your AI register
  • Audit-proof logs as the foundation for GoBD evidence
  • A building block for your process documentation
  • AI literacy training under Art. 4
  • Documents for data protection, data processing agreements, and works councils
What the system includes

What about Microsoft Copilot?

Copilot and Uhrwerk are not mutually exclusive. Uhrwerk starts where a process reaches beyond Business Central — into the inbox, PDFs, the DMS, Excel, and other systems — and runs it as a repeatable workflow with approvals.

Operation

  • Business Central Online and On-Premises
  • Hosting in the EU, in your cloud, or on-prem
  • GDPR-compliant with a data processing agreement
  • 200+ supported file formats
  • Model-independent, fair-use licence instead of a token meter

Frequently asked questions about AI in Business Central

Are there AI agents for Business Central On-Premises?

Yes. Uhrwerk.AI has connectors for Business Central Online and for Business Central On-Premises. Uhrwerk itself can run in the EU, in your cloud, or on-prem.

How is Business Central connected to Uhrwerk?

Through an app registration in Microsoft Entra ID with delegated permissions. Uhrwerk acts on behalf of the signed-in user and only with the rights of that user in Business Central. On-Premises can alternatively connect with a NAV user and web service access key over OData v4 or API v2.

Does Business Central need an extension installed?

No. Uhrwerk installs no app of its own in Business Central. For Business Central Online you enable the Microsoft MCP server; for On-Premises you publish the required pages as OData or API web services.

Does the AI post to Business Central on its own?

Not by default. Uhrwerk prepares postings, orders, and master-data changes, and an authorised employee approves them. Once a workflow has proven itself in daily use, you can enable automatic application for individual steps.

Does Uhrwerk replace Microsoft Copilot?

No. Uhrwerk adds workflows to Business Central that reach beyond the ERP — for example from the inbox through the DMS into Business Central — with approvals and logs.

Where is our Business Central data processed?

In the EU, in your own cloud, or on-prem — GDPR-compliant with a data processing agreement. Uhrwerk works within your existing permissions.

Which Business Central processes are a good place to start?

Recurring processes with clear rules and a lot of manual work: incoming invoices, order entry from email, delivery-date reconciliation, and master-data maintenance.

Can we connect several tenants or environments?

Yes. Both connectors support several connections — for example for different tenants, environments such as production and sandbox, companies, or servers.

Does Uhrwerk copy our Business Central data?

No. Uhrwerk reads Business Central data live through the interface and keeps no separate index of it.
